Booking software for activity centres

Booking software for UK activity centres: one booking for the whole visit, however many activities.

Several activities in one visit, back to back with your changeover times, each with its own party; packages in the order you choose; deposits, balances and a share each for the guests; and group quotes that hold the rooms.

Built inside a working rage room and axe throwing venue in Kent.

The Day Plan in the demo venue on a full Sunday: every session from 10:00 with its guests, check-ins and a line for the time now

Screens from our demo venue. Every name in them is made up, because we take privacy seriously.

The questions your team answers every day

“Six of us want the rage room, but all ten want axes.”

Each activity in a visit carries its own party, priced for its own group, and the times offered for the next activity skip anything that would clash with the last — changeover time included — so a visit you cannot run cannot be built.

“Can I pay a deposit and the rest nearer the time?”

Take a deposit now and the balance later. Set when the rest is due, once, and customers are reminded before the date; a single booking can have its own terms when one customer needs them.

“I am not paying for all twelve and chasing them.”

PayMyBit splits one booking into named shares. Each guest gets their own link and pays only their share, and you read one balance.

“We need a price for forty people from the office.”

Build the visit as a quote with real activities, times and prices, hold the rooms for between a day and two weeks, and convert it to a booking when they say yes. A company can give its VAT number when it books.

Packages, in the order you choose

A package is a product in its own right, with its own price, category and cancellation policy. You set the running order customers see first, and decide whether they may change it — where a briefing has to come first, yours is the only order offered.

The Day Plan list in the demo venue: today's sessions with each booking's guests, host, check-in and payment

The whole day, on one screen

The Day Plan shows every visit with each activity, its host, who has checked in and what is still to pay. A birthday within a week of the visit gets its own marker, and the customer's own reason for coming is shown in their words.

The till in the demo venue: drinks, snacks and grip socks in a basket, ready to take by cash, card machine, gift voucher or a tab

The food and drink on the same system

The till sells food and drink with stock control and allergens on every item, runs tabs that settle onto the party's booking, and sends what needs making to your kitchen and bar screens.

What a multi-activity centre gets

  • Whole visits in one booking and one payment
  • Each activity with its own party size
  • Packages with their own price and running order
  • Deposits, balance dates and reminders
  • PayMyBit: everyone pays their own share
  • Group quotes that hold the rooms
  • The whole venue hired out for a window
  • Birthdays and special reasons on the Day Plan
  • A host on every activity of a visit
  • Tabs, kitchen and bar screens, allergens
  • A staff rota with hours and labour cost
  • Insights that point out what your numbers are saying

What it does not do. The till splits its takings by department, but no report yet splits a booking's money between the departments its activities belong to. And there are no party invitations to send to guests.

Questions venues ask

Can the whole venue be booked out?
Yes. Exclusive venue hire takes every room and lane for a window, so nothing else can be booked at the same time.
Can food be part of a party?
Extras such as drinks can be added when they book, and food and drink on the day goes through the till, onto a tab that settles with their booking, or from a table order — what needs making goes to the kitchen screen. A package itself is made of activities.
How much does it cost?
£299 a month per venue, with every feature included and no commission on your bookings. Each extra site is £209.30 a month. There is a one-off onboarding fee of £195, and two weeks of onboarding with us before your first bill. Text messages are the one extra: pay-as-you-go at 7p a text. Pricing and the early venue offer.
Can you bring over our existing bookings and customers?
Yes. Send us the export from your current system and we bring it across for you: customers, products, future bookings and outstanding gift vouchers, whose codes keep working. A person reads the file before anything lands in your account. We do it with you as part of onboarding.
Where does the money go?
Card payments run through Square or Stripe, connected to your own account, so your money settles straight to you. Staff can also record cash, card-machine, deposit and invoice payments against a booking. How Square works with VenueBookr.
